Church management software

Your whole church in one place — instead of a dozen spreadsheets

AlphaOS is church management software: people and families, serving rotas with confirmations, service plans, a catalogue of over 40,000 songs, finance — and a church website that fills from the same data. One price for the whole church, however many people.

30 days free — no card required.

Every church leader knows these

None of this is about laziness or chaos. It is what ministry looks like once it outgrows chats and spreadsheets.

“Who is serving on Sunday?”

The answer lives in three chats and in one person’s head. He goes on holiday and Sunday is rebuilt from scratch.

Team rotas weeks ahead, invitations that get confirmed, and visible declines — “I can’t” arrives on Tuesday, not on Sunday morning.

“I didn’t know I was serving on Sunday”

Someone told them in a private message two weeks ago. The message got buried in the chat — the date, the songs and the key are long forgotten.

Everyone who serves sees it in the app: when they serve, which songs and in what key — and one tap to say “I’m in” or “I can’t”.

Songs are PDFs in a chat

The setlist is rebuilt every week, keys live in the guitarist’s memory, and newcomers have no idea what the church sings.

Your songbook plus a catalogue of over 40,000 songs: transpose to a voice, one PDF for the band, and a stage “Live” mode with a metronome and backing tracks.

Only one person sees the money

A notebook or a file on somebody’s laptop. When the board asks how much came in for the roof, archaeology begins.

Cash and accounts in any currency, campaigns with progress, budget plan-vs-actual and spending requests — with a log of who changed what.

The website was built by a friend three years ago

The schedule on it is stale, events are never updated, and changing a phone number means hunting somebody down.

A site fed by the same data as the console: schedule, events, “Plan a visit”, giving. Your own domain connects with two DNS records — the instructions are in the console.

Nobody remembers what the board decided

“But we agreed” — and where exactly, who objected and what was decided is no longer findable.

Meetings with an agenda, votes with a quorum, and minutes that stay in the system rather than in someone’s notebook.

Mobile app

The app for volunteers

Ministry does not happen at a desk: the rota is checked on the bus, chords are read on stage, attendance is marked at the door.

  • Your own serving slots, confirmed with one tap
  • Songs with chords in your key and a stage “Live” mode
  • Small-group and kids attendance right at the door
  • Push for invitations and swaps; works offline too

All of this already opens on a phone today — through a personal link, with no password and nothing to install. The app adds push, offline and speed.

We didn’t build this in a vacuum. AlphaOS grew from the real needs of a newly-planted church — “Alpha” — which is why every module is built deeply, not just for show.

AI Studio · Pro

AI that knows your church

Not a “generic” AI — it works in the voice, style and context of your community. And it equips the minister rather than doing ministry for them.

Management system

Everything a church needs — done deeply

Not a simplified “minimum”, but real modules teams actually use every day.

People & community

People 360°

Full profiles with ministry history, custom fields, tags & segments, photos and CSV/XLSX import. Merge duplicates, see birthdays at a glance.

Families

Households with relationships (husband/wife/children), member ages and non-member relatives — a complete picture of your community.

Small groups

Rosters, meeting attendance, member roles and analytics — a genuinely deep small-groups module.

Prayer

Prayer requests from the community, statuses and an archive. And when God answers, the testimony is recorded next to the request — for the whole team to see.

Staying connected

Announcements

Church news on the home screen of everyone it concerns — the whole church or chosen people. Pin what matters; an announcement with an end date takes itself down.

Surveys

Polls by link — open to anyone or to members only, with a closing date. An anonymous survey does not record who answered at all — it doesn’t just hide it.

Events

A month calendar, events with registration and public RSVP right from the church site.

Join form

A membership-form builder — your own fields, order and required flags. Submissions land straight in People.

Serving & rotas

Ministries

Serving teams, leaders and rosters. Each team’s kind is set explicitly — worship, tech, kids, preaching — so everyone sees their own rota, not someone else’s.

Team rotas

Who serves on which dates — one table per quarter across every team, with how many people each position needs. The auto-planner drafts it around blockouts, pauses, a monthly cap and fair load — and explains every assignment.

My serving

In the app every volunteer sees when they serve, accepts or declines with one tap and marks when they are away. Songs with chords in their key, the order of service and swap alerts are right there too.

Kids ministry

Age-banded classes with rooms and a teacher-to-child ratio warning, class rosters, lessons tied to a passage, and attendance.

Gatherings

Service plans

What actually happens inside a gathering: order, roles, timing. Sunday, youth or prayer night — each runs as its own series, created weeks ahead from a template. The team gets a share link with the plan, no account needed.

Song catalogue

Over 40,000 songs: transpose to a voice, capo, Nashville numbers, a part for every instrument. Multitracks with a click, slides for ProPresenter and PowerPoint, and one chart pack for the whole band.

Sermons

Who preaches on which dates: topic, passage and length right in the table, with the host alongside. See at a glance who hasn’t preached in a while and who is already booked.

Media plan

A content calendar for the media team: post, story, reel or announcement — by channel, with an owner and a status from idea to published.

Decisions & documents

Meetings & minutes

Member meetings and councils — without the chaos. The agenda is ready in advance, quorum counts itself, and voting is secret, right inside the agenda item. What remains is minutes nobody can rewrite after the fact, and every decision becomes a task with an owner. On Pro, AI drafts the minutes from a transcript.

Tasks

A kanban board for the team: from idea to “done”, with auto-archiving of finished work.

Reports

Community, attendance, serving and finance summaries — exported to PDF and Excel for the church board.

Notes

A shared store for notes, outlines and church documents — with attachments, authors and search.

Finance, access & data

Finance

Accounts & multi-currency, fundraising campaigns with progress, budgets & categories, PDF reports & donor statements, Google Sheets import.

Roles & access

Flexible role-based access and custom roles for your structure. A ministry leader edits only their own team, and finance is a separate axis: the treasurer sees donors, the pastor sees only totals. Everything is logged.

My data

Everyone can see what the church stores about them: profile, form answers, groups, family, attendance and their own giving — and flag an inaccuracy in one tap.

Custom domain

Connect your church domain with two DNS records, or order registration of a new one in the console. A “Your domains” table shows status, cost and the renewal date.

Security & data

Your church data, kept safe

Church data is sensitive. We build the platform so it can be trusted.

Encryption

All traffic runs over HTTPS and the database is encrypted at the Cloudflare infrastructure level. Data is stored in European data centres.

Backups

The database is copied nightly to separate storage and can be restored to any moment in the last 30 days.

Protected passwords

Passwords are never stored in the clear — only a cryptographic hash (PBKDF2).

Church isolation

Each church’s data is kept apart from every other church’s — nobody outside can see it.

Roles & activity log

Role-based access; every change is recorded — transparent and accountable.

Your data is yours

The church stays the owner. Even when the subscription lapses nothing is deleted: read access and report downloads remain.

Questions

Frequently asked

The essentials in brief. More in the documentation.

Spreadsheets work fine for us. Why another system?
A spreadsheet won’t tell you someone is serving their third Sunday in a row, won’t send a volunteer their own rota, and won’t show the schedule to a visitor on your site. This holds the same data, but connected: rotas, gatherings, finance and the public site all run off one source.
We have several gatherings a week. Does that work?
Yes. Sunday service, Thursday youth, Tuesday prayer — each runs as its own series: set it up once from a template for months ahead, and the rota, the plan and the planners keep them apart by series.
What does it cost to start?
The first 30 days are free and no card is required. After that it’s one subscription for the whole church, monthly or yearly, however many people are in it. Plans and a comparison are on the Pricing page.
What happens to our data if we stop paying?
Nothing is deleted or hidden. The account goes read-only: you still see everything and can download lists, statements and reports. Pay again and work continues where it stopped.
We’re not technical. Will we manage?
Yes. Everything happens in the console — no code, designers or developers — and every page has built-in help. If your church keeps records in Google Sheets, you’ll be fine.
Is there a mobile app?
A volunteer app is on its way to the App Store and Google Play. Today, everything a volunteer needs — their rota, confirmations, songs with chords and the plan — already opens on a phone through a personal link, with nothing to install.
Can we migrate existing data?
Yes. People import from CSV or XLSX with column mapping; finances import straight from a Google Sheet.
Who can see finances?
Finance access is its own axis: the treasurer sees donors by name, the pastor sees only totals, everyone else sees nothing. Every action is logged.
Can people see what is stored about them?
Yes. Everyone with an account sees their own profile, form answers, groups, family, attendance and their own giving under “My data” — and can flag an inaccuracy in one tap. That is a person’s right, not a favour.
What exactly does AI do?
It equips: content drafts, slides from your text, Bible-study materials. You write the sermon — AI gives you the raw material. The AI studio is on the Pro plan.
Which languages does it speak?
This site is in five languages. The console works in Ukrainian and English; a church’s public site can be shown in Ukrainian, English, Polish, Spanish or Portuguese.
Can we use our own domain?
Yes. If you already own one, connecting is free: add two DNS records (we show them ready to copy) and press “Verify”. If you don’t own one, you can order its registration right in the console — the service fee and renewal date appear in the “Your domains” table. Your alphaos.space subdomain keeps working, free, either way.

Try it in your church
